What Kini takes care of in the staffitpro connection.
staffitpro is a staffing platform with multi-posting, applicant management, talent pools and client management in one system. Kini connects it to your recruiting channels as a managed service. Five places where that makes the clearest difference.
Only jobs marked for internet publication come into Kini
Kini reads each end customer's staffitpro jobs on a schedule and takes over only those marked for internet publication, skipping drafts. Title, description, location, industry sector, job type, start date and main recruiter come along. A job that no longer comes back from staffitpro is archived in Kini after the next import.
Candidates created and assigned to the right job
For every application, Kini creates a candidate in the end customer's staffitpro account with name, email, phone number, address and skills, plus nationality and date of birth where the candidate gave them. Kini then assigns that candidate to the staffitpro job they applied for, using the original application date as the assignment date.
CV and further documents filed on the candidate
Kini uploads the files that came with an application to the new candidate record in staffitpro. The CV is filed as the candidate's CV, and further files, such as a cover letter, are added as additional documents. The application therefore arrives in staffitpro together with its documents, not as a bare contact record.
The source of every candidate, in your customer's own terms
Kini writes the channel an application came from into the candidate's initial-contact field, together with the application date, and records the channel as the creator of the record. Channel names can be mapped per end customer, so each source appears in staffitpro under the label that customer already uses for it.
Screening answers written into the candidate record
Answers to screening questions arrive in staffitpro as readable text. Kini writes each question together with its answer, and any free-text note sent with the application, into the candidate's qualification comments and into the recruiter comment on the job assignment, so the answers sit with both the candidate and the job.
Every field. Every entity.Exactly where it belongs.
Kini exchanges four kinds of data with staffitpro. Jobs come in from the end customer's account; candidates, their documents and their assignment to a job go back. The field names below are the ones staffitpro's API uses, as Kini reads and writes them.
Jobs
Candidates
Job assignments
Documents
Kini links every application to its job through the staffitpro job UID. An application for a job without a valid staffitpro job UID is not sent as a candidate; Kini records it as an expected failure, or delivers it to a fallback job where the end customer has one.
Step 1Connect
Step 2Map
Step 3Test
Step 4Go-live!
End-to-end GDPR consent
Every application that flows through Kini carries a consent flag, mirrored on the target system's side and traceable in audits.
Native-language custom fields
Locations, departments and sources are mapped correctly even when they use German naming conventions or regional variants, whether your customers sit in DACH or operate internationally.
Application flows for a wide range of job boards
Stepstone, Indeed, Jobrapido and regional boards each have their own required fields, screening patterns and encoding rules. Kini's mapping engine is trained for those: out of the box, not as a custom project.
Operated by the Kini team
Kini runs the connection for you, including monitoring and alerts. If a vendor changes an API or a mapping breaks, our team fixes it before it reaches your funnel. Operated from Germany.
Frequently asked questions about the staffitpro integration.
Which staffitpro jobs Kini imports, how applications arrive as candidates, and what to check with staffitpro before an end customer goes live.
Jobs come from staffitpro into Kini, and applications go back. Kini imports the jobs marked for internet publication with title, description, location, sector and job type. For each application, it creates a candidate with contact details and skills, uploads the CV and further documents, and assigns the candidate to the job applied for.
Only jobs that staffitpro marks for internet publication and that are not drafts. Jobs without that mark, and drafts, stay in staffitpro only. Each imported job keeps its staffitpro job UID, which Kini uses later to assign every application to exactly that job when it sends the candidate back to staffitpro.
Once an hour by default. The schedule is set per end customer, so it can differ between accounts. After each import, Kini archives the jobs that staffitpro no longer returns, and their status in Kini changes to archived, meaning the job is no longer available at its source.
As a candidate assigned to the job. Kini forwards each application asynchronously: it creates the candidate in the end customer's staffitpro account, uploads the CV and further documents, and assigns the candidate to the job with the original application date. Partners can follow the delivery status of every application through Kini.
In the comments, as text. Kini writes each screening question together with its answer into the candidate's qualification comments and into the recruiter comment on the job assignment. A free-text note from the application is added in the same place, so recruiters find the answers next to the candidate and next to the job.
Kini does not record a consent in staffitpro on the candidate's behalf. It creates each candidate with the data privacy status set to unknown. In staffitpro, a recruiter can send the GDPR request from the candidate record, and the candidate's answer, agree or decline, is written back to that record automatically.
Kini records it as an expected failure instead of treating it as an error. That happens when the job carries no valid staffitpro job UID or staffitpro cannot find the job. Where the end customer has set up a fallback job, Kini delivers the application to that job instead, and its status shows the fallback.
Check API access with staffitpro before going live. staffitpro's pricing page lists the REST-API as a feature of its Intelligent and Genius plans, not of Smart. Kini connects to each end customer's staffitpro account through staffitpro's API with that customer's own credentials, so the account needs API access.
No. Jobs and candidates live in staffitpro, which remains the system of record. Kini sits between staffitpro and your recruiting channels: it imports the jobs marked for internet publication and returns applications as candidates assigned to those jobs, operated as a managed service, so neither you nor your end customer has to maintain the connection.
